Prescriptions
Medication refills
It is the patient's responsibility to notify the pharmacy in a timely manner when refills are necessary. Approval of your refill may take up to three (3) business days, so please do not wait to call. Refills are authorized only during our regular business hours. All controlled-medication refills must be requested through our office within 3 business days of running out.

Contact process
Our office is open 8:00am to 5:00pm Monday through Thursday and closed from 12:00pm to 1:00pm for lunch. We are closed on all federal holidays. Your call may be answered by voicemail if we are unable to answer during business hours. Voicemail is not for psychiatric or medical emergencies, as we are not an emergency clinic. If you are unable to reach us in an emergency, go to the nearest emergency room or dial 911.
Appointments
It is your responsibility to attend appointments as scheduled. If you do not show for three scheduled appointments, or you cancel three scheduled appointments less than 48 hours in advance within a one-year period (except in verifiable emergencies), you may be dismissed as a patient. We reserve the right to charge a no-show fee for missed appointments. Please note that "48-hour notice" means calling by 9am Tuesday to cancel an appointment for 9am Thursday.
Fees
You may be charged for other services such as phone calls, after-hours contacts, reports, and consultations with other professionals. Your insurance company will be billed for covered services; however, you will be required to pay for any fees not covered by insurance, including no-show fees. If you are a self-pay or private-insurance patient, your card on file will be billed for any co-pays, coinsurance, unmet deductibles, and other owed fees at the time of the appointment. A surcharge of 3.5% will be applied to all credit/debit card transactions to offset processing fees.
Insurance & preauthorization responsibility
Many insurance companies now require preauthorization for mental health services. It is your responsibility to notify our office if your insurance changes or if your insurance requires preauthorization. If your plan requires preauthorization, it is your responsibility to know the requirements and to obtain the necessary approvals before seeking treatment. It is also your responsibility to be aware of any plan limitations. Authorization for sessions does not guarantee available benefits. If benefits exhaust or pre-existing conditions apply, you will be responsible for the bill.
Technology use
Our practice uses secure technology to support your psychiatric care, including telehealth visits, a patient portal, and optional Ambient AI tools. Ambient AI may help clinicians create visit notes and is used only with your consent; your clinician reviews all documentation. Telehealth sessions are conducted on secure platforms and require your consent each visit. The patient portal is for non-urgent messages, scheduling, and record access — not for emergencies. We follow all privacy laws and ethical standards to protect your information.
